About the Role
Chief of Staff, Technology and Business Operations
- Reporting to the Chief Information and Administrative Officer
- Remote, US ET or PT hours
The role
- Reports directly to the Chief Information and Administrative Officer.
- It exists so that one executive can cover technology, data, security, and administration across a fast-moving consumer brand without any of it going unattended.
- The work splits roughly in half:
- Strategy ownership:
- Running a major analytics and data warehouse engagement
- Running an enterprise AI deployment
- Running a company-wide security awareness project
- Executive operations:
- Vendor negotiations
- Access and licensing decisions
- Escalations
- Investigations
- Internal communications that go with them
- It suits someone:
- Technical enough to hold their own with vendors and engineers
- Organised enough to run several projects at once
- Comfortable operating with very little direction
- The person in this seat is trusted to decide what matters, and to say so when something does not.
What success looks like in the first year
- Leadership always knows the status of every major technology project without having to ask.
- The analytics vendor delivers against a prioritised backlog that reflects real business need, and internal teams actually use what is built.
- Technology spend is visible, justified, and challenged where it is not.
- Security and compliance obligations are met on schedule rather than chased at the deadline.
- Recurring work has been turned into a repeatable system instead of staying in one person's head.
- The executive this role supports spends less time on operational detail and more time on decisions.
Core responsibilities
- Strategy and vendor ownership
- Own the relationship with strategic technology vendors, including delivery governance, prioritisation, escalation, and commercial discussions at renewal.
- Act as the single point of contact between internal stakeholders and external delivery teams, resolving competing priorities and keeping work sequenced against business impact.
- Hold vendors to their commitments.
- Push back on scope, timelines, and upsells that do not add value.
- Reporting and executive support
- Produce recurring status reporting for leadership and the executive team, at a level of clarity where numbers carry the argument rather than adjectives.
- Turn ambiguous requests into verified answers:
- Investigate
- Confirm at the source
- Come back with a recommendation
- Draft internal communications that go out company-wide, and own the process that gets them reviewed before they do.
- Technology administration and governance
- Hold administrative ownership across the core platform stack, including:
- Workspace
- Communications
- Business intelligence
- Cloud
- AI tooling
- Manage licensing and access end to end:
- Provisioning
- Deprovisioning
- Tier decisions
- Seat capacity
- The cost that sits behind all of it
- Own the internal technology request process, from intake through to resolution.
- Set and enforce the standard for what tools and integrations are approved, and challenge requests that carry data exposure without a defined use case.
- Security and compliance
- Run the company security awareness strategy end to end, including:
- Content planning
- Release scheduling
- Simulation campaigns
- Completion tracking
- Escalation
- Support compliance and legal requests that require technical execution, working to externally set deadlines.
- Systems and improvement
- Identify manual, repeating work and turn it into a documented, repeatable process or an automation.
- Evaluate new tools and platforms against real requirements, and make a recommendation rather than presenting a neutral list of options.
- Write and maintain the documentation that lets other people run the process without asking.
- People
- Line manage a coordinator-level direct report, including weekly coaching and quality control on outbound work.
What we are looking for
- Required
- Three or more years in business operations, technical operations management, IT operations, chief of staff, or a similar cross-functional role.
- Hands-on administrative experience with a modern SaaS stack.
- Google Workspace and Slack at administrator level are the baseline.
- Cloud console familiarity is expected.
- Demonstrated vendor management, including running a delivery relationship and holding a commercial conversation at renewal.
- Strong written communication in English.
- This role writes constantly, for audiences ranging from an external vendor to the executive team, and the writing has to be short, specific, and free of filler.
- Comfort with data and reporting.
- Able to build a clear report from messy source material and explain what it means.
- Working fluency with AI tooling as a daily instrument, not as a curiosity.
- The person in this seat is expected to build their own leverage.
- Self-direction.
- A high share of the work arrives as a one-line request with no brief attached.
- Judgement about escalation.
- Knowing what to handle, what to flag, and what to challenge.
- Preferred
- Experience supporting a business intelligence or data warehouse strategy, including stakeholder intake and adoption work.
- Familiarity with security awareness training projects or general security and compliance operations.
- Exposure to e-commerce or consumer brand operations, including marketplace and multi-region complexity.
- No-code or low-code automation experience.
- Experience managing at least one direct report.
- Additional languages, given the international footprint.

Working model
- Remote.
- Meaningful overlap with US Eastern hours is required.
- Most recurring meetings and the reporting cadence sit in that window.
- The role works across US, European, and Asian markets, so some meetings fall outside standard hours.
Must-Have Skills
- 3+ years in business operations, technical operations, IT ops, or chief of staff role with hands-on Google Workspace and Slack administration, cloud console familiarity, vendor management experience, excellent written English, data/reporting comfort, daily AI tool fluency, and strong self-direction; remote US ET or PT hours required.
Nice-to-Have
- Business intelligence or data warehouse strategy support, security awareness training or compliance operations experience, e-commerce or consumer brand operations background, no-code/low-code automation skills, people management experience, and additional languages.
