The Office Coordinator plays a critical support role across both the People Operations and Office Management teams. This position is highly organized, detail-oriented, and service-minded, supporting executive administration, recruiting coordination, employee experience, office operations, and day-to-day business needs. This is an ideal role for someone who thrives in a fast-paced environment, enjoys wearing multiple hats and takes pride in keeping people and systems running smoothly.
Responsibilities: Office Management Support
● Partner with Receptionist on department purchasing and expense tracking ● Manage access and permissions for company platforms, including routine audits and renewal oversight ● Assist with employee engagement programs, including planning and communication ● Support company legal administrative processes, including organizing and filing contracts, agreements, and related documentation Recruiting & People Operations Support ● Partner with People Ops and Hiring Manager to identify ideal candidate profile ● Act as first reviewer for all applications for open roles as assigned ● Be the primary point of contact for all candidates, maintaining clear and timely communication ● Schedule and coordinate all interview logistics, from initial phone screen through offer ● Serve as point person for employee onboarding and offboarding ● Support additional tasks and initiatives as needed Executive Administrative Support ● Own and manage the complex, high-volume calendars of the President and CEO, including meeting scheduling, prioritization, and coordination ● Handle sensitive and confidential information with discretion About You ● Highly organized with exceptional attention to detail and follow-through ● Comfortable working with senior leaders and handling confidential information with discretion ● Communicates well with others and demonstrates strong interpersonal skills ● Collaborative team player who can also work independently and take ownership ● Team player, with a proactive “no task too small” mindset ● Thrive in a fast-paced environment with the ability to multi-task without sacrificing quality of work ● Approach challenges with a problem-solving, solutions-focused mindset Requirements ● 1-3 years of prior experience as a receptionist or administrative office position ● Bachelor’s Degree preferred ● Demonstrated ability to manage scheduling, logistics, and multiple workflows simultaneously ● Must be proficient in Mac & PC computers; experience with Google Suite and Microsoft
