About the company Our client is a German e-commerce company that develops and sells its own consumer brands on Amazon. We are not resellers — we design the products, manufacture in Asia, and own the listings. Brands: MANTRA SPORTS (fitness equipment) · Basic Haus (kitchen) · SoCal Buttercup (beauty & home organisation)

Read this before sourcing — it defines the profile more than the skill list does We are a startup. There is very little existing infrastructure. Most of what this role will manage is currently done by the founder personally, in his head or in ad-hoc spreadsheets. There are a handful of SOPs; there is no system. This person has to build their function, not inherit it. The first 60 days is designing the process, then running it. This means the single most important screening filter is not years of experience — it is whether the candidate has ever set something up from nothing. Someone who was excellent inside a large, well-run Amazon agency with established processes may struggle here. Someone who was the first ops or creative hire at a smaller brand is the profile we want. Please screen for this explicitly. A candidate who asks “what’s the current process?” and stalls when the answer is “there isn’t one” is not a fit. General requirements Fluent written and spoken English. This role involves direct written communication with the founder and with suppliers, forwarders or external partners. Hard requirement. Timezone: flexible. The founder is based in Thailand (GMT+7), but each person works in their own timezone. We coordinate through ClickUp and Slack, with a scheduled call each week. Do not screen candidates out on timezone. Fully remote. We have no office. Contractor engagement, long-term. We are hiring for years, not for projects. How we work. Tasks are assigned and tracked in ClickUp on a daily, weekly and monthly cadence, with a weekly team meeting. The founder sets the priorities. Within that, we need someone who takes ownership, works through their list without being chased, and flags problems early. Our tool stack Google Sheets · Google Drive · Slack · ClickUp · LastPass · Claude (AI assistant) · Amazon Seller Central Candidates comfortable with this stack ramp faster; none of it is hard to learn, so treat it as a nice-to-have rather than a filter. Comfort using AI tools day-to-day is a genuine plus — we use them heavily. Our selection process — please brief candidates upfront Candidates should know this before they apply, so they self-select correctly: Screening by Activate Talent A practical test project using real material from our business — roughly 2–4 hours, 5 days to complete A short recorded video from the candidate explaining their reasoning on the test One interview with the founder Reference check We weight the test project heavily. Candidates who interview well but deliver poorly on the practical will not advance. Please set that expectation early — it saves everyone time.

Why this role exists Every shipment into Amazon is currently created by the founder personally. It works, but it’s the bottleneck — products sit out of stock because there was no time to build a shipping plan that week. There is no single view of where our inventory actually is. What they’ll own Shipment creation and management Create all inbound shipments: 80–90% direct to Amazon FBA, the remainder to Amazon AWD and 3PL partners Across all marketplaces: USA, Canada, UK and EU Labels, carton labels, box content, appointment booking, carrier selection Track every shipment from supplier to checked-in and sellable Chase discrepancies: missing units, damaged cartons, mislabelled shipments — open and follow Seller Central cases through to resolution

Inventory visibility — building this from scratch Build and maintain the master inventory tracker showing, at any moment: units at FBA (per marketplace), units at AWD, units at 3PL, units in transit, and units in production This does not exist today. Designing it is part of the job.

Cost control Verify freight quotes, invoices and Amazon fees are correct before payment Flag discrepancies and cost anomalies Track landed cost per unit over time Must-have 2+ years hands-on Amazon FBA shipment creation. They must have personally built shipping plans in Seller Central — not supported someone who did. Strong Google Sheets: lookups, pivots, building a tracker that actually calculates rather than just stores numbers Detail orientation to a level that borders on pedantic. This role is about catching a 14-unit discrepancy on a 2,000-unit shipment. Working knowledge of Amazon AWD and 3PL fulfilment — required, not optional. A meaningful share of our inbound volume goes to AWD and third-party warehouses alongside FBA. Ability to build a process where none exists Nice-to-have (score these, don’t require them) EU and UK Amazon experience — VAT, EORI, EPR/packaging registrations, post-Brexit customs documentation. Our EU footprint makes this role meaningfully harder than a US-only equivalent, and this experience is rare. Prioritise candidates who have it. Direct experience with Chinese suppliers and sea freight forwarders Deal-breakers Has only worked with 3PL/Shopify fulfilment and never Amazon FBA specifically Needs a defined process handed to them Cannot demonstrate a spreadsheet they built themselves Screening question for the recruiter “Walk me through the last FBA shipment you created, start to finish. What went wrong, and how did you catch it?” Vague or textbook answers mean they haven’t done it. People who have done this have war stories. Note for Activate Talent This role is only about 15 hours a week, and we are hiring a full-time Amazon Listing Manager in parallel. If a strong candidate appears with both Amazon backend depth and FBA shipment experience, we would consider combining these into a single full-time role. Please flag any such candidate rather than screening them into one lane.

Must-Have Skills

2+ years hands-on Amazon FBA shipment creation across multiple marketplaces (USA, Canada, UK, EU), advanced Google Sheets proficiency (lookups, pivots, trackers), working knowledge of Amazon AWD and 3PL fulfillment, and proven ability to design processes from scratch in a startup environment.

Nice-to-Have

EU and UK Amazon experience including VAT, EORI, and post-Brexit customs documentation; direct experience with Chinese suppliers and sea freight forwarders; comfort using AI tools daily.
