Wholesale Assistant

Position Details:

Position Overview: We're looking for a proactive, detail-oriented Wholesale Assistant to support the daily operations of our independent wholesale accounts. This role blends account service with growth—keeping orders, records, and communication running smoothly, while helping expand our stockist base using AI-powered tools. We're looking for a self-starter who moves fast, enjoys taking care of accounts, communicates with clarity and warmth, and is an independent learner who stays current with AI advancements.

Key Responsibilities:

• Manage day-to-day communication and support for independent wholesale accounts, including timely responses to inbound inquiries.
• Process wholesale, sample, and replacement orders, and issue invoices through Faire and Shopify, ensuring timely fulfillment.
• Monitor inventory levels and proactively communicate backorders or shipping delays.
• Conduct outbound outreach to prospective stockists, combining direct communication with AI-powered tools (Overjoy and Apollo) to source and enrich new contacts.
• Monitor the CRM daily, following up on leads after samples are sent to encourage order placement.
• Identify high-potential customers within the customer list and grow relationships through incentives, updates, and special offers.
• Keep Excel trackers and sampling records up to date to maintain accurate customer records.
• Streamline wholesale operations and identify workflow improvements.
• Collaborate cross-functionally with sales and operations teams.
• Assist field team representatives with order placement and database updates.
• Regularly update SEO on the main shop offerings to keep listings aligned with seasonal market trends.

Qualifications

• 2+ years of experience in wholesale operations, sales support, or customer service.
• Proficient in Google Workspace, Shopify, and Slack.
• Comfortable using digital tools including Faire, Overjoy, Claude, and Apollo (training provided).
• Strong written and verbal communication skills.
• Highly organized, detail-oriented, and resourceful.
• Able to work independently and adapt to evolving priorities.
