About the Role

We’re helping our client find an Inventory & Operations Coordinator to complete a Sortly inventory buildout and create an AI-driven ordering system across multiple supplier accounts. In this role, you will design, build, and implement automated inventory and ordering workflows while contributing to a system that can run independently after handoff, ensuring consistent product availability without stockouts.

Responsibilities:

  • Master Sortly and complete the buildout — every item, every field, structured for automation
  • Train on-site team member on scanning products in when received and out when sold, plus recurring communication checkpoints and a standing needs-list
  • Build AI ordering workflows connecting Sortly to each supplier account, with reorder logic based on stock levels, vendor lead times, and sales patterns
  • Set up and maintain recurring Amazon orders for office supplies from purchase history
  • Create feature profiles for products, build out Fullscript catalog to match, and create promotional material for patient subscription recommendations
  • Document every workflow so the system runs without continued off-site support after the engagement

Must-Have Skills

  • ● 3+ years of experience in inventory, operations, procurement, or administrative operations
  • ● Hands-on automation experience: workflow platforms (Make, Zapier, or n8n), spreadsheet automation (Google Sheets / Apps Script), and AI tooling (Claude or ChatGPT APIs)
  • ● Experience with browser automation or AI agents for portal-based tasks
  • ● Experience training others on software (remote training)
  • ● Strong organizational skills and attention to detail
  • ● Comfortable working independently in a remote environment
  • ● Strong English communication skills

Nice-to-Have

  • ● Experience in healthcare, dental, wellness, supplements, or other product-based businesses
  • ● Experience with Sortly specifically (imports, alerts, labels, webhooks/API)
  • ● Experience with Fullscript or practitioner supplement platforms
  • ● Experience supporting a fast-growing business
