About the Role

Job Title: Production Coordinator

Job Type: Full-time / Remote

Work Hours: Eastern Time (ET) or significant overlap with U.S. East Coast working hours

Job Overview:

We’re helping our client find a Production Coordinator to help drive projects from planning through completion across the organization’s ecosystem. In this role, you will coordinate work, execute deliverables, improve processes, and ensure projects continue moving forward without bottlenecks while contributing to overall operational efficiency and execution excellence.

Responsibilities:

Project Coordination & Execution

  • Coordinate and execute work across multiple simultaneous projects.
  • Drive follow-up, next steps, deadlines, and accountability across teams.
  • Translate discussions and meetings into clear action plans, owners, and deliverables.
  • Support project planning, execution, documentation, and reporting.
  • Ensure projects continue moving forward without requiring constant oversight.

Operations & Systems

  • Support operational projects such as CRM workflows, newsletters, reporting systems, databases, process improvements, and internal infrastructure.
  • Help document, improve, and maintain SOPs, workflows, and team processes.
  • Assist in organizing information, tracking data, and maintaining operational visibility across projects.
  • Identify gaps, blockers, and inefficiencies and propose solutions.

Cross-Functional Team Coordination

  • Coordinate work across production, marketing, operations, creative, community, and external partners.
  • Ensure stakeholders have the information, resources, and clarity needed to execute effectively.
  • Track deliverables, dependencies, and timelines across multiple projects.
  • Partner closely with the Marketing Coordinator on content, campaigns, newsletters, launches, and communications initiatives when needed.

Events, Partnerships & Programs

  • Support planning and execution of events, partnerships, fellowships, community programs, podcasts, and special projects.
  • Coordinate vendors, speakers, guests, sponsors, and external stakeholders.
  • Manage logistics, communications, scheduling, and project follow-through.
  • Support business development initiatives connected to partnerships and strategic projects.

Ownership & Accountability

  • Take ownership of assigned projects and workstreams.
  • Proactively identify next steps and keep momentum moving.
  • Surface risks, blockers, and recommendations early.
  • Help reduce workload at the Production Lead level by independently managing execution and coordination responsibilities.

Must-Have Skills

  • 2-4 years experience coordinating projects, programs, events, marketing initiatives, operations, content, or client work.
  • Strong organizational and project management skills.
  • Comfortable managing multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to operate in ambiguity and create structure where processes are still evolving.
  • Strong execution mindset; willing to be hands-on when needed.
  • Experience with project management tools such as ClickUp, Asana, Monday, Notion, Jira, or similar.
  • Experience with CRM systems, newsletters, content workflows, community programs, or operational systems is a plus.
  • Experience working with AI tools to improve workflows, documentation, research, or execution is a plus.
  • Spanish is a plus.

Tools & Tech Stack

  • Project management tools (ClickUp, Asana, Monday, Notion, Jira, or similar) and CRM/operational systems.
