Executive Assistant to Head of Partnerships
About the Role We are seeking a highly organized and proactive Executive Assistant to support the Head of Partnerships in a fast-paced, high-growth environment. This role serves as the operational backbone of the business development and partnerships function,
Events & Activations
- Coordinate logistics for conferences, networking events, sponsorships, and activations across the US, UK, and Europe.
- Prepare run-of-show documents, speaker bios, attendee materials, and panel study guides.
- Manage vendor coordination and booth logistics for on-site events.
- Support webinar and panel execution activities.
Content & Communications
- Draft LinkedIn posts, webinar promotional content, and outreach messages.
- Conduct market research and package insights into presentations and reports.
- Prepare speaker briefings and panelist materials.
Calendar & Scheduling
- Manage complex calendars across multiple time zones (US, UK, and EU).
- Coordinate meeting agendas, preparation materials, and follow-up notes.
- Maintain HubSpot meeting links and partner booking workflows.
Reporting & Operations
- Generate weekly activity reports using Gmail, Google Calendar, and HubSpot.
- Track partner performance metrics, commissions, and payouts.
- Maintain CRM hygiene and pipeline documentation.
Stakeholder Support
- Manage inbound partner requests and outreach sequences.
- Collaborate with leadership, product, and marketing teams, as well as external partners.
- Prepare briefing documents for key meetings and partnership discussions.
Required Qualifications:
- 2–4 years of experience as an Executive Assistant, Partnerships Coordinator, Business Development Operations professional, or similar role.
- Experience working in startups, high-growth companies, or creator economy environments.
- Excellent written communication skills with the ability to draft professional content with minimal editing.
- Strong organizational skills and a proactive approach to follow-up and execution.
- Experience supporting events from planning through on-site execution.
- Proficiency with HubSpot or comparable CRM platforms.
- Experience using Google Workspace tools.
- Ability to manage competing priorities across multiple time zones.
- Interest in social commerce, the creator economy, or TikTok Shop.

Must-Have Skills
- 2–4 years of experience in Executive Assistant, Partnerships Operations, or Business Development Operations roles.
- Strong written communication and copywriting abilities.
- Hands-on experience with CRM platforms such as HubSpot.
- Event planning and logistics coordination experience.
- Exceptional organizational and stakeholder management skills.
- Ability to support teams and partners across US, UK, and EU time zones.
Nice-to-Have
- Nice-to-Have Skills:
- Background in TikTok Shop, affiliate marketing, or creator economy businesses.
- Experience supporting agency or platform partnership deals.
- Copywriting and content creation capabilities.
- Familiarity with AI tools and workflow automation.
- Exposure to UK and European markets.
- Experience coordinating webinars, speaking engagements, or panel discussions.
