We’re looking for a sharp, proactive Executive Assistant to support a young entrepreneur managing multiple ventures, a growing personal brand, and an active travel schedule.
This is a long-term, high-impact role that will evolve over time. You’ll begin with core EA responsibilities and gradually take on more business-specific functions as trust and context build.
This role is best suited for someone who is highly independent, resourceful, and naturally operates one step ahead. You won’t be micromanaged—you’ll be expected to figure things out and proactively improve how the principal operates.
What You’ll Do
Core Responsibilities (Day 1)
- Travel planning: flights, accommodations, detailed itineraries, and logistics across time zones
- Calendar & scheduling management: coordinate meetings, protect focus time, manage changes seamlessly
- Research: conduct fast, high-quality research across markets, people, and opportunities with clear summaries
- Event coordination: manage logistics for both personal and business-related events
Communication & Calls
- Join calls to pre-screen and interview candidates before escalation
- Represent the principal in initial conversations when appropriate
- Communicate on behalf of the principal via email, messaging, or DMs with professionalism and clarity
Business-Specific (Evolving Scope)
- Take on additional responsibilities as the business grows and trust is built
- Support across eCommerce, operations, and internal workflows as needed
- Assist in optimizing systems, tools, and processes
Must-Haves
- Strong written and verbal communication skills
- Highly organized, detail-oriented, and self-directed
- Calm under pressure with excellent problem-solving ability
- Low-ego, easy to work with, and professional
- Comfortable working in an evolving, ambiguous environment
Ideal Background
- Experience supporting a young entrepreneur, eCommerce founder, or tech founder
- Exposure to multi-venture or fast-paced startup environments
- Experience supporting a principal with a personal brand or social media presence
- Familiarity with frequent travel coordination
- Comfortable using modern tools and systems
Deal Breakers
- No prior experience supporting a founder or entrepreneur
- Requires heavy micromanagement or direction
- Weak written or verbal communication skills
- Inability to adapt in a fast-moving, evolving environment
Interview Process:
Stage 1: Recruiter Screen Initial conversation to assess communication skills, experience, and overall fit
Stage 2: Video Introduction Candidate submits a short video answering key questions (motivation, work style, experience)
Stage 3: Live Interview (Client / Hiring Manager) Deep dive into experience supporting founders, problem-solving ability, and communication style
Stage 4: Practical Assessment Real-world EA task (e.g., travel planning, scheduling scenario, research task) to evaluate execution and thinking
Stage 5: Final Interview Cultural fit, working style alignment, and expectations discussion
Must-Have Skills
- Proven experience as an Executive Assistant supporting a founder or entrepreneur
- Strong organizational and prioritization skills
- Ability to work independently without constant direction
- Professional communication across calls, email, and messaging
Nice-to-Have
- Experience supporting founders with personal brands
- Background in eCommerce or tech environments
- Familiarity with tools such as Notion, Slack, Shopify, or similar
- Experience managing competing priorities across multiple businesses
