About the Role

We are seeking a detail-oriented and proactive Operations Specialist to support and optimize Amazon marketplace operations across global regions. This role will focus on the end-to-end management of inbound logistics, ensuring products are accurately shipped, tracked, reconciled, and documented across all Amazon fulfillment channels.

The ideal candidate thrives in fast-paced operational environments, has strong attention to detail, and can effectively coordinate across internal teams, third-party logistics providers, factories, and finance stakeholders.

Key Responsibilities:

Amazon Inbound Shipment Management

  • Create and manage FBA (Fulfillment by Amazon) shipments within Amazon Seller Central across multiple marketplaces (US, CA, EU, and others)
  • Monitor shipment progress from creation through warehouse check-in and proactively address delays or exceptions
  • Reconcile shipped versus received inventory quantities and investigate discrepancies
  • Submit and manage reimbursement claims for lost, damaged, or miscounted inventory within Seller Central
  • Maintain accurate shipment records, tracking logs, and operational documentation

3PL & Factory Coordination

  • Act as the primary liaison between third-party logistics providers (3PLs) and factories for outbound shipments
  • Coordinate shipment schedules, carton counts, labeling requirements, and Amazon compliance standards
  • Manage booking confirmations, cargo readiness timelines, and shipment coordination
  • Communicate proactively with both external partners and internal teams to resolve operational issues efficiently

Shipping Documentation

  • Prepare, review, and organize shipping documentation including commercial invoices, packing lists, bills of lading, and certificates of origin
  • Ensure documentation complies with Amazon marketplace standards and customs/import regulations
  • Maintain organized records for all import/export and shipment documentation

Payment Processing

  • Process and track freight, vendor, and 3PL invoices for payment
  • Coordinate with Finance to ensure timely and accurate invoice processing

Investigate and resolve billing discrepancies through completion

NetSuite Receiving & Inventory Management

  • Process inventory receipts within NetSuite upon warehouse or 3PL delivery confirmation
  • Reconcile receiving reports against purchase orders and shipment manifests
  • Ensure inventory quantities, costs, and warehouse locations are accurately reflected in the ERP system
  • Partner with Supply Chain teams to resolve receiving variances and maintain clean inventory records

Must-Have Skills

  • 1–3 years of experience in supply chain, logistics, or e-commerce operations
  • Hands-on experience with Amazon Seller Central and FBA shipment workflows is required
  • Experience using NetSuite or similar ERP systems strongly preferred
  • Familiarity with 3PL operations and import/export documentation
  • Strong attention to detail with the ability to manage multiple shipments simultaneously
  • Proficiency in Excel or Google Sheets with strong reconciliation and tracking skills
  • Strong written and verbal communication skills with both internal and external stakeholders
