About the Role
Creative AI Builder — Production Systems Who We're Looking For
We need a systems builder embedded on the production side of the business This is not a general AI role. You're here to build the infrastructure that powers how content gets made, tracked, and published — and then own it as the operation scales.
The production team creates carousels, short-form video, Substack content, social copy, and long-form material from a rich ecosystem of raw sources: founder conversations, speaking engagements, meeting transcripts, and interviews. Right now, the path from raw input to published piece is largely manual. Fragmented. Dependent on people remembering to do things.
You fix that. You ship real workflows, own the systems you build, and show up as a proactive partner to the production team — not a consultant who hands things off and disappears.
This is an ongoing embedded role. Not a project. Not a sprint.
Key Responsibilities
Audit the current production tool stack and return with a prioritized build list — no open-ended discovery period Build and maintain the pipeline that turns raw source material (meeting transcripts, speaking engagements, recordings) into structured, brand-aligned content ideas organized by pillar in ClickUp, with full source traceability Clean up and standardize the ClickUp content tracker — status-based routing so content moves through production without manual chasing Build a real-time production visibility dashboard so leadership can see what's in motion, what's stuck, and what's ready to publish — without asking Build and maintain a content repurposing pipeline so one approved long-form piece automatically generates structured suggestions for carousels, clips, threads, and posts Systematize the mentorship program operations: General workflows, Lovable portal materials, ManyChat social flows — map what exists, close the gaps, and build a reliable automated flow Coordinate with the AI Integrator on a bi-weekly cadence to ensure production-side builds stay compatible with ops-side architecture — two lanes of one system Document all workflows as they're built so the team can operate without depending on institutional knowledge What You Bring
Experience:
Background in creative operations, content production, marketing ops, or brand workflow — you know what good looks like and you've been close enough to a real production environment to have the vocabulary Proven track record shipping AI-powered systems, not just recommending them — show us something you've built (a Loom walkthrough, a live tool, a workflow you made for yourself or a team) Experience building for non-technical users — the production team are your users, not engineers Technical Skills:
You don't need to be a software engineer. You need to be someone who can work comfortably across these tools and knows when to reach for which one.
AI development tools — Claude Code, Cursor, Windsurf, GitHub, VS Code; comfort using AI-assisted coding tools to build and iterate without relying on a dedicated developer Codex / OpenAI API — familiarity with API-level AI tooling as a complement to Claude Low-code builders — Lovable or equivalent; you've shipped something real with one of these Automation platforms — Zapier, Make (Integromat), or n8n; you know how to connect tools without writing infrastructure from scratch Deployment basics — Vercel or Netlify; you can get a build live without needing a DevOps handoff Claude as infrastructure — not just prompting, but building projects, skills, and workflows using Claude as the operating layer Notion/ClickUp (or comparable project management tools) as a workflow layer, not just a task list Content production tooling — Canva, Frame.io, Metricool, Substack; you don't need to be an expert in all of them, but you can't be starting from scratch Soft Skills:
Extreme ownership — you feel the weight of a missed outcome, not just a missed deadline. You self-report before things break. Proactive communicator — you escalate before it breaks. Going quiet when stuck is the fastest way to lose trust on this team. Resilient under direct feedback — feedback here is frequent and specific. You hear it as useful information and keep moving. Systems thinker — you design reusable infrastructure, not one-off fixes. You understand how your work connects upstream and downstream. Self-directed executor — you run your own audit, define your own priorities, and come back with a plan. You don't wait to be told what's broken. Preferred Qualifications
Experience working directly with or alongside a founder-led brand or creator-driven content operation Familiarity with brand voice systems and how to enforce consistency across a team using AI tooling Experience with mentorship program operations, cohort management, or similar external-facing workflows Exposure to Fathom or Granola for transcript-to-content workflows Prior experience coordinating with a parallel ops or systems team Spanish is a plus Job Details

About Us
Who We Are Trolley is an AI-native operating infrastructure built for the people who carry everything at once — the founder, the strategist, the GP, the head of brand. We exist for anyone whose job is to turn chaos into culture and instinct into infrastructure. We're not a staffing firm. We're not a SaaS tool. We're the layer that makes complex organizations move.
What We Do We build the systems, teams, and architecture that let high-conviction leaders execute at the speed their ideas deserve. That means AI automation and workflow design, strategic communications, fundraising infrastructure, executive recruiting, and the operational backbone most organizations don't know they're missing — until it isn't there.
Why Join Us? Work at the intersection of AI and execution — not as a buzzword, but as a daily practice. Every role here is designed to close the gap between strategy and reality. We move fast, we build things that last, and we treat operational excellence as a competitive advantage.
Be Part of Something Being Built in Real Time Trolley is actively expanding its team. If you're energized by ambiguity, fluent in modern tools, and want to work with founders who are shaping what's next — we want to hear from you.
