About the Role

Production Coordinator 20 Hours/Week | Senior-Level Role | Remote

Overview: We are seeking a highly organized and operationally driven Production Coordinator to support and scale our growing production department. This is a senior-level coordination role responsible for executing cross-project production work, managing operational workflows across multiple clients, and ensuring projects continue moving efficiently without creating bottlenecks at the Production Lead level.

This role is designed for someone who thrives in fast-paced environments, exercises strong independent judgment, and can confidently manage multiple simultaneous workstreams with minimal oversight. The ideal candidate is proactive, solutions-oriented, and experienced in agency, media, or content production operations.

Key Responsibilities: -Execute production coordination across all active projects and clients, ensuring timelines, deliverables, and workflows continue moving forward efficiently -Fill operational gaps across the department by providing senior-level execution support wherever additional capacity is needed -Manage complex or multi-stakeholder projects independently, making sound operational decisions without requiring constant involvement from the Production Lead -Coordinate cross-client production logistics between internal teams, external vendors, freelancers, and client stakeholders -Lead operational onboarding support for new clients alongside the Production Lead and become the day-to-day production coordination contact for assigned accounts -Support department scalability by absorbing increased production workload as client volume and project complexity grow -Coordinate production-side requirements and execution priorities across all active client accounts -Provide additional operational support to the Junior Project Manager when project volume exceeds their bandwidth or assigned scope -Monitor project progress, identify potential bottlenecks, and proactively implement solutions to maintain delivery standards -Ensure communication, documentation, and production processes remain organized and aligned across all stakeholders

Relationship with the Junior Project Manager: -To maintain clear operational ownership and avoid overlap: -The Junior Project Manager owns recurring, project-specific operations within their assigned accounts -The Production Coordinator supports cross-client work, new projects, and operational requirements that exceed the Junior Project Manager’s available capacity or defined scope -The Production Coordinator complements the Junior Project Manager’s execution responsibilities rather than replacing ownership of established projects

Must-Have Skills

  • Proven experience managing production workflows in an agency, media, marketing, or content production environment
  • Strong operational judgment with the ability to assess situations, prioritize effectively, and execute independently
  • Demonstrated ability to manage multiple simultaneous projects in a fast-paced environment
  • Excellent organizational, communication, and stakeholder management skills
  • Experience coordinating across internal teams, external vendors, freelancers, and client contacts
  • Comfortable operating in dynamic environments where priorities may shift quickly
  • Ability to proactively identify issues, solve problems, and maintain momentum across projects
  • Strong attention to detail and follow-through on deliverables and timelines
  • Fluent English communication skills required
  • Spanish fluency is a strong plus
